A simple CRM for freelancers
A customer relationship management system, or CRM, is a place to keep everyone you might work with: leads, prospects, current clients and past clients. Big CRMs have too many features for a freelancer. This free CRM keeps it simple with a pipeline of five stages: Lead, Contacted, Proposal sent, Won and Lost. Each card stores the contact name, company, email, phone, the value of the deal, the date of the next follow-up and notes. The summary shows your open pipeline value, how much you have won, your win rate and how many follow-ups are due.
Why freelancers need a CRM
Most freelance income comes from conversations that happened weeks earlier. A potential client asks for a quote, goes quiet and then returns when the budget is approved. Without a record, it is easy to forget who asked what and when to follow up. A CRM turns scattered messages into a list of next actions. It also shows you where your work comes from and how many proposals turn into projects, which helps you decide where to spend your marketing time.
How to use the pipeline
- Add every enquiry as a Lead, even if it comes from a short message.
- Move the card to Contacted once you have replied or had a first call.
- Move it to Proposal sent when you have given a price, and enter the deal value.
- Always set a follow-up date. Cards with a due follow-up are highlighted.
- Mark the deal Won or Lost. Add a note about why, because patterns in lost deals teach you what to change.
Tips for better client relationships
- Follow up within two days of the first contact. Fast replies win work.
- Send a short, friendly reminder one week after a proposal, then another after two weeks.
- Keep notes about the person, such as their goals and deadlines, and refer to them in future messages.
- Ask happy clients for testimonials and referrals right after delivering good work.
- Review the Won and Lost columns monthly to see which sources and services perform best.
Common mistakes to avoid
- Entering contacts but never setting follow-up dates.
- Leaving old deals in the pipeline. Move them to Lost when they go cold so your numbers stay honest.
- Storing sensitive details you do not need. Keep only what helps you do your job.
- Relying on one device. Export a CSV or JSON backup regularly.

Frequently asked questions
Do freelancers really need a CRM?
If you have more than a handful of clients or leads, yes. A simple CRM stops opportunities slipping through the cracks.
How often should I follow up?
A polite follow-up after 3–5 days, then another after a week, works well for most proposals.
Can I export my contacts?
Yes, use the export option to keep a CSV backup of your list.
Can I import contacts from a spreadsheet?
Not yet as a CSV, but you can restore a JSON backup. For a handful of contacts, adding them manually takes a minute each.
How do I move my CRM to another computer?
Use Backup (JSON) on the old device, open the same page on the new one and choose Restore backup.
Is a free CRM enough for a freelancer?
For most solo freelancers, yes. A simple pipeline with follow-up dates covers what you need until your client list becomes large.
